This helps to bypass legacy systems issues – consider pitfalls like informational silos, inefficient data storage, or large volumes of paper that can make it difficult to keep track of purchase orders, monitor spend, and fraudulent activity, and also diminish the ability to predict future needs.

1. Purchase request to Purchase orders

Manually processing procurement requests and creating purchase orders often leads to delays, and to a rather low score on the accuracy scale. Automatically after you receive a purchase request, the bots can fast and accurately implement the steps of the workflow: assess the request, seek approval from the department head involved with the request, and process the request to raise a process order.

COTS products (commercial off-the-shelf) are used “as-is”; they can nicely interoperate with existing system components. The problem is the need to reduce the impact of wholesale software upgrades, which can be quite strong. This being a high-volume, repeatable task, it’s precisely here that RPA can help.

5. Demand and supply planning

Leveraging robotic process automation in procurement also helps the end-to-end management of the demand and supply planning. The rationale is that bots can help to cut out inter-departmental silos (e.g., managing procurement, shipping, warehousing, and inventory), and to manage them in a more centralised fashion.

Suppose that  your warehouse is full of inventories. When software robots realise that the warehouse is full of inventories, they are set to automatically notify the procurement department. This assists the procurement  staff to take stock of the situation.

But what role does intelligent automation play in this digitised picture of procurement? It can take RPA one step further because it takes into account humans’ recommendations in algorithmic form for shortening processes even more. Additionally, algorithms allow automated processes with AI to learn and to make decisions, and then to ‘ask’ for human confirmation that things do work as you want them to.
